Our Audi dealership in Pasadena is seeking Inventory Coordinator/Used Car Assistant. This is a great opportunity to take your automotive career to the next level. In this position, you will contribute to the success of Rusnak Group by contributing to the success of Rusnak Automotive Group (the Company) by providing key assistance to management and sales department and actively coordinates vehicle trackingIn addition, you will be assisting with lease returns, processing purchase paperwork, inspect inventory quality, and all other Used Car Department to work towards achieving the goals of the dealership.

Responsibilities

Effectively Assists Sales Department in Vehicle Tracking and Inventory Control

  • Arranges all vehicle transportation as needed.
  • Ensures consistent follow-up on all inventory concerns.
  • Updates all new and/or used vehicle inventory consistently and in a timely manner.
  • Stocks in any new vehicle from port or special order from the factory or dealer traded vehicle and assists in coordinating pick-ups and deliveries with any shippers. .
  • Updates the inventory system, both new and/or used, up to date.
  • Ensures all the vehicle invoices in the inventory system are up to date.
  • Assists department in ensuring photos are taken of select new vehicles as instructed by management.
  • Ensures the website (Rusnakonline) is up to date with pictures, information, and relevant vehicles pertaining to our inventory.
  • Works with management to ensure Dealersocket has the relevant information pertaining to each vehicle.
  • Assists with miscellaneous duties for sales: ensures the packets for each vehicle have adequate pieces to it (extra key, books, etc.); places key fobs on each car and registering them to make sure the key vault is up and running and correct; sets up showrooms and specific areas for events, cleaning, or just movement of cars; prints vehicle stickers for each car.
  • Coordinates with the service department after a vehicle has been PDI'd and verifying the vehicle. Including making sure the packets are correct, key fobs are completed, and paperwork ready to be stocked in.
  • Inputs PO's that need to be completed on ADP and bring them up to the business office along with MSO's.
  • Assists all the Sales Managers by retrieving vehicles from other locations including off-site storage

Effectively Assists Sales Department in Lease Maturity Management

  • Reviews CRM reports for upcoming lease maturities and contacts clients accordingly.
  • Schedules appointments for lease returns within company storage schedule allowance.
  • Collects all necessary paperwork from Lessee and processes according to Lessor requirements via appropriate online grounding portals.
  • Maintains record of all lease returns including customer name, vehicle VIN, and number of keys at time of return, recall checks and transport pickup dates.
  • Coordinates transportation of lease returns to appropriate storage location and maintains reasonable number of cars on lot vs rate of transport.
  • Evaluates, under consultation of Used Car Manager, the condition and market price of all lease returns for consideration of buying said vehicles for used car inventory.
  • Tracks all necessary reconditioning and/or warranty/recall work for vehicles purchased off-lease to insure efficiency of recon to front line process.

Effectively and Efficiently Assists in Vehicle Inspections, Assessment and Reconditioning of Used Vehicles:

  • Assists in completing physical evaluations of trade-in or lease return vehicles to determine value. May be done independently after successful training.
  • Determine what cosmetic reconditioning is required and coordinate to have work completed.
  • Complete final inspection of vehicle prior to bringing to front line.
  • Assist with monitoring status of all used vehicles at various stages of reconditioning to get vehicles front line as quickly as possible.

Effectively and Efficiently Assists in Maintaining Vehicle Filing and Research Process:

  • Input prospective trades and/or lease returns into appraisal system for evaluation.
  • Print out all necessary documents for creation of vehicle file including CarFax, Autocheck, Book Sheets, etc. upon purchase.
  • Process paperwork for vehicles purchased at auction and send copies to business office.

Qualifications

  • Required; Excellent interpersonal and customer service skills; at least 1 year of retail related experience.
  • Required; H.S. Diploma/GED/ or Equivalent.
  • Required; Good verbal and written communication skills.
  • Required; Current California Driver License with satisfactory Department of Motor Vehicle driving record.
  • Required: Current California Sales License.
